Bookings can only be accepted from financial members.
Booking requests must be made using the Lodge's booking form. The best way to do this is by filling in the electronic form on the Lodge's website and pressing the "send booking request" button. Alternatively, a printed version of the booking form can be filled in and posted to the Booking Officer. If you have difficulty in accessing the web, please request a copy of this printed form from the Booking Officer. (Indeed, any other member with access to the web will be able to print off a copy for you.)
Full payment must be made at the time of requesting a booking, or by 5pm on 28 February if made during the member preferred period. Payment can be made directly to the Lodge's bank account (preferred) or by sending a cheque to the Booking Officer.
Bookings can only be made on a per person/bed basis. Bedroom allocation will be made by the booking officer. Booking requests for room(s) will not be accepted.
No Winter bookings will be confirmed before 1st March. On that date, or soon after, the Booking Officer will consider booking requests received to that date. In doing so, the Booking Officer will, in the following order:
For the period up to 1 March, all requests for accommodation (for which the full payment has been made) are treated as if they have arrived concurrently. In the event that there is a greater demand than supply, the Booking Officer will allocate accommodation having regard to (i) the member's 1st and 2nd preferences and (ii) the member's success in getting the desired accommodation in previous years.
Booking requests received on or after 1 March are dealt with on a first come, first served basis provided full payment has been made at the same time as the booking request.
Cancellations by members must be in writing. A booking refund will not be made if a cancellation or change in accommodation is made less than one (1) month before the accommodation date and the accommodation is not relet.
If you believe you are entitled to a refund because of extenuating circumstances or if this condition produces hardship, please advise the board.
When a booking is made within one (1) month of the accommodation date, the member/guest is liable for that accommodation cost and a refund will only be made if the specific accommodation is relet.
Members and guests are to check out by 10:00a.m. and new arrivals check in after 10:00am. If you occupy a bed in the lodge before 10:00 am you are liable for one (1) additional night's accommodation.
If, on short notice, additional members or guests occupy the lodge, the booking officer must be advised and their accommodation costs must be paid within seven (7) days. All members and guests must sign the accommodation register at the lodge.
The whole Lodge may be booked during Winter for a whole week, for a fixed weekly tariff. The booking will only be considered after the member preferred booking period has expired (on 1 March). Whole lodge bookings will only be made if no other bookings have been made for the week requested. The booking must be made by a member, who is responsible for the lodge for the week. The whole week tariff will apply, even if the lodge is only to be used for part of a week.
Please note that the number of people/beds above add up to 19, plus 3 day beds. Our lease provides for 16 permitted number of bed/persons. (Children 5 and under do are not counted.)
